1. | Point out grammatical errors. It is almost unavoidable that from time to time we Chinese make mistakes! |

4. | Point out some good sentences speakers used in the meeting so that all the Toastmasters can learn from them. |
Language Evaluator is like other evaluators (Individual Evaluators or General Evaluators). The secret is while pointing out weakness, don’t forget to give some praises! |

1. Prepare an English Song with lyrics. A sing-along version is preferred.
2. Share the song using a video, PPT or a sheet of paper.

Duty of Table Topics Master:
1. Before the session, make a name list of those who do not have assignments.
2. In the session, briefly state the purpose of the Table Topics Session.
3. Call upon 4-6 people to answer your table topic questions.
Make sure every member speaks in the meeting.
4. State your questions briefly. Avoid long or too complicated questions. Avoid questions about racial issues, religions, sex, and privacy topics. Hot news and current events are good topics. Then call on a respondent. Ask one question of one member or a pair of members at the same time. Have members think on their feet and speak for a minute or so.
Give a warm-up English game that can involve as many people as possible. The game can be a competition as well. It is expected to be educational while the audience is having fun.
The duration of a Variety Session is about 15 minutes.
Sometimes the Session Master can make it a Joke Session. In this case, invite 3-5 members to prepare jokes before the meeting. They are expected to share the jokes during the Joke Session. You as the joke master should also prepare a few jokes to fill up the gap if any. Both members and guests are welcome to share their jokes.
To be a good General Evaluator is similar to be a good Individual Evaluator. The only difference is that the General Evaluator's comments cover all areas of the meeting--to be positive yet point out the weakness for the club to improve. | |
1. | Before the meeting |
Contact your evaluator team (individual evaluators and the language evaluator). Make sure they know they will show up at the meeting and know how to do their job. If they don't know, help them. Also, prepare what to say to introduce them. As a General Evaluator, arrive at the meeting place earlier. Understand even what's going on before the meeting. | |
2. | Upon arrival of the meeting |
Sit near the back of the room to allow yourself full view of the meeting and its participants. | |
3. | During the meeting |
Take notes on everything that happens. For example, does the meeting start on time? Is the club banner hung up? Is there any distraction that should be avoided? Cover each participant on the program. Look for strength and weakness of session masters and speakers. But manual speakers have their own Individual Evaluators, so it's not necessary to reevaluate the speaker. Of course you can add something that the individual evaluator has missed. Surely you can evaluate how the individual evaluators did their jobs. | |
4. | When you give evaluation |
Take control of the meeting from Toastmaster of the
Day. You can say a few words about the importance
of general evaluation or how you are going to do it!
Before you give your comments, ask Timer and Ah-counter
to give a report. Then the Language Evaluator should be
called to do his job. At last it is your turn to give your
comment. Be a General Evaluator, not a generous
evaluator. Be strict yet full of encouragement.

1. Well-prepare before hearing the speech | |
Be familiar with the objective of the speech we are going to hear. Also, take into consideration the individual needs, goals, sensitivities and experience level of the speaker. (Call or email GE to tell him/her how to introduce you.) | |
2.Reach a helping hand | |
Read the script for the speaker before hearing the speech and offer some suggestions, which will help the speaker to have more confidence in delivering his or her speech. | |
3.Be constructive and helpful | |
Overly kind evaluation is not the best choice; the “middle ground” is helping and encouraging. That is, give a couple of suggestions with a smooth tone, which will help the speaker to improve. An evaluation is only an opinion, nothing more. We can't change a speaker's behavior to accept our ideas. The decision to accept our suggestions is the speaker's alone. The evaluator is not a judge or an authority on speaking. | |
4.Build and maintain self-esteem | |
As evaluators, we have the power to influence, but we should never be given total credit—or responsibility—for a person's subsequent speaking performance. Instead, consider the evaluator a catalyst for change. Evaluators' suggestions only provide the basis for future modifications. But whether or not the speaker acts upon their advice is up to that person. | |
5.Personalize our language | |
The purpose of evaluation is to stimulate improvement, so be sure to use proper words. For example, don't say “You don't’…” “You should have…” “You failed to…” Instead, we had better use “I believe…” I suggest that…” | |
6.Use “sandwich” method | |
During the evaluation, praise the speaking in the beginning and the end. Only give a couple of suggestions in the middle of the evaluation for the good feeling of the speaking. | |
7.Evaluate the speech, not the person | |
As evaluators, always keep our main purpose in mind; to support, help and encourage the speaker. So, focus on the speaker's delivery rather than on the speaker as a person. |
An evaluator is a supporter, encourager and helper. Give positive, constructive evaluations that will motivate and genuinely help the receiver. | ||||

Call the speaker to learn his speech objectives. Be aware of the speaker's general goals and of specific areas in which he would like help and feedback. Answer him any questions he may have. Help him and encourage him. Remind him of bringing the manual to the meeting and give it to you before the meeting begins. | ||||

1. | Listen attentively--not only with ears, but also with eyes. Take notes. | |||
2. | After the speaker finishes the speech: | |||
(1). | Complete the evaluation guide, but remember that you need not comment on every question. You may use the manual guide as a base for your evaluation, but your evaluation need not be limited to those points. | |||
(2). | Drafting the content of the evaluation--focus on the most important points. You won't have time to cover everything. | |||
(a). | Mention the presentation's effect on you. | |||
(b). | Mention what the speaker did well--the speaker's effort and strength | |||
(c). | Mention where the speaker could improve, and specific recommendations for improvement. | |||
(d). | Conclude on a positive note that helps the speaker build self-esteem and self-confidence. | |||
C. | During the intermission: | |||
Maybe you can ask opinions of the speaker himself and of other audience. | ||||
D. | Presenting the evaluation | |||
Giving the speaker your personal opinion in a friendly, direct, non-threatening manner. | ||||
1. | Comment sincerely, friendly, directly and honestly. | |||
2. | Look at the speaker. | |||
3. | Give your personal opinion. | |||
(1). | Describe your own reactions to the speaker, not other people’s reaction. For example, say, “I liked it when” or “I was confused about..” Avoid saying “The audience didn’t understand….” | |||

(3). | Avoid judgmental words and phrases, such as “good speakers always…” | |||

5. | At latest one week (better 2 weeks or 10 days) before the meeting, email or call TME to tell him/her how to introduce you, and how to connect the introduction of you to your speech. |
6. | Make sure that your IE has your script at latest 2-3 days before the meeting. |
7. | Remember to bring your manual to the meeting and give it to your IE before the meeting starts. |
B.Useful Tips (offered by Susan Wu) | |
1. | Be creative!“Oh! Romeo, Romeo, wherefore art thou Romeo?” "Shall I hear more? Or shall I speak at this? I never saw true beauty till this night. It is my soul that calls upon my name. How silver sweet, sound lovers tongues by night. Like softest music to attending ear's.” “Opening” can get people attention immediately. Be creative! Always try something different to entertain and surprise your audience. |
2. | Be brave! Ballroom Dancing has different levels. For example, Amateur, Professional class C, Professional class B, and the highest Professional class A. Modern Dancing, included Waltz, Tango, Foxtrot, and Quickstep. Latin Dancing, included Cha-Cha-Cha, Lumbar, Samba, Paso, and Jive. Do some research for your speech, be brave, and show it with your body language. |
3. | Have passion for your topicRead the manual, choose the topic that you are interested, and be prepared. With the topic that you are interested, you can deliver a good speech, people can benefit from your sharing, get different life experiences and success for the rapidly changing world. |

I have three boards in my hand. Whether you are a speaker, a session master, Toastmaster of the Day, or even the President, please pay attention to my boards.
No matter how long the time limit is, when you see the Green Board, it means you have reached the minimum time requirement. When you see the Yellow Board, for prepared speech speaker, you have one minute left, for table topics speaker and evaluator, you have 30 seconds left. When you see the Red Board, it means your time is up.
All the speakers have 30 seconds leeway. If you speak overtime, you will be disqualified and are not eligible for awards.

Remark: To make the meeting more interesting, you can set your own rules and make it reasonable, funny. For example, forget to shake hands, forget other member's name, mix up the usage of He & She, speak overtime, do not acknowledge the session master, do not call “toastmaster” in front of the name, etc.
DUTY:
1. Create a meeting theme 2 weeks before the meeting. 2. Act as a genial host & conduct the entire program smoothly.
3. Introduce the other members of the program, to create an interesting learning environment.
PREPARATION:
1. Confirm every assignment taker a week in advance.
2. Find a substitute in the meeting if any participant is absent.
3. Check with EVP if there is any special event(Induction, celebration, training…) on the meeting day.
ACTION:
1. Arrive early in order to finish any last-minute details
2. Fill up and/or cut down the time if the gap is too big and/or too tight
3. Always lead the applause before & after the speaker starts/finishes
4. Remain standing near the lectern after the introduction till the speaker has acknowledged you and assumed control of the meeting, then be seated.
5. Whatever the GE, Session Masters forget, you do it.(e.g. write down names of participants for joke session, forget to call upon timer, Ah counter….)
CONCLUSION:
1. Thank every participant and guest for a smooth meeting.
2. Remind assignment takers of staying after the meeting to help cleaning up the room.

A Reminder to the Toastmaster of the Day
In order to collect introduction information, you can ask each participant one or two questions related to the meeting theme. For example, “Which person do you admire most and why?” When you introduce a prepared speaker, please try to connect that person's features/information with his/her speech title. And please do remember to tell the audience the objectives of that speech.
Please try to be the “mentor” of all the people you contact—especially when some of them are new members. For example,

2. Tell the Variety/Joke Session Master: If the session master decides it to be a joke session, he/she needs to inform some members (who are not assignment takers) to prepare jokes to share.
3. Tell the Table Topics Session Master: Ask each question briefly but twice, and invite members who haven't and will not have a chance to speak in the meeting to answer the questions. It is better to prepare several questions and use one question for one person only, instead of asking many people the same question.
4. Tell the prepared speakers to find someone (for example, mentors) edit the script, and to rehearse well. Please remind General Evaluator (GE) of contacting the Individual Evaluators (IE) as early as possible, better 10-14 days before the meeting, too. And ask the GE to tell the VPE if any evaluator cannot come. GE can remind IEs of doing evaluation based on the present speech objectives, not the future speech objectives.
Please tell the President how to introduce you.
You must already know that TMD needs to introduce what Toastmasters is about, especially when we have new guests.
Try to type what you will say and rehearse it in advance. Thank you for your good preparation and your dedication. With your effort, you will be an outstanding TMD and we will have a happy and successful meeting!
Our long-time friend, Ivy Chen, decided to join YZU Toastmasters Club last month. She becomes the tallest lady in our club. Without wearing high heels, she is 178 cm tall! Amazing, isn't she? Thanks to Ivy, the average height of YZU TM members increases a lot.
Ivy has been to our regular meetings to serve as a Session Master for several times in the past. We're very impressed by her Words of the Day and Variety Session as she made those sessions not only educational but also full of fun. Summer is in full swing. It's a good time for people to go for outdoor recreation. However, do we always put safety first while having fun?
Last month the party, Color Play Asia, which was supposed to be fun and entertaining, turned out to be a tragedy in Formosa Water Park (八仙水上樂園). Nearly 500 people were burned by expanding fireballs in the dust explosion. Many of the victims are still hospitalized.
In our next Toastmasters meeting, we'd like to talk about this unfortunate accident. Please tell us anything you heard about it. You may want to tell us a story, may it be sad or touching. You can also share with us what you learn from this lesson or what we should do to prevent injury in the outdoor activities.
