Duty of Language Evaluator:

1.	Point out grammatical errors. It is almost unavoidable that from time to time we Chinese make mistakes!
2.	Point out the improper words used in the talk.  Tell the audience the correct English and explain the differences of word choices.
3.	Point out wrong pronunciation and intonation.
4.	Point out some good sentences speakers used in the meeting so that all the Toastmasters can learn from them.
Language Evaluator is like other evaluators (Individual Evaluators or General Evaluators). The secret is while pointing out weakness, don’t forget to give some praises!

Duty of Song Session Master:

1. Prepare an English Song with lyrics.  A sing-along version is preferred.

2. Share the song using a video, PPT or a sheet of paper.  

3. Explain the useful or interesting words or phrases in the lyrics.

4. Sing the song with the participants together.

Duration: 5~10 minutes

Duty of the Word of the Day Session Master:

1. Prepare a list of words, phrases, idioms and/or sentences related to the meeting theme.

2. Introduce and explain those words, phrases, idioms and/or sentences using PPT or handwriting on the blackboard.

3. Call upon participants to answer questions or make sentences using the words they just learned.

4. Encourage members to use the words they just learned throughout the meeting.

Duration of Word of the Day Session: 3~5 minutes

Duty of Table Topics Master：

To be a good General Evaluator is similar to be a good Individual Evaluator. The only difference is that the General Evaluator's comments cover all areas of the meeting--to be positive yet point out the weakness for the club to improve.
1.	Before the meeting
	Contact your evaluator team (individual evaluators and the language evaluator). Make sure they know they will show up at the meeting and know how to do their job. If they don't know, help them. Also, prepare what to say to introduce them. As a General Evaluator, arrive at the meeting place earlier. Understand even what's going on before the meeting.
2.	Upon arrival of the meeting
	Sit near the back of the room to allow yourself full view of the meeting and its participants.
3.	During the meeting
	Take notes on everything that happens. For example, does the meeting start on time? Is the club banner hung up? Is there any distraction that should be avoided? Cover each participant on the program. Look for strength and weakness of session masters and speakers. But manual speakers have their own Individual Evaluators, so it's not necessary to reevaluate the speaker. Of course you can add something that the individual evaluator has missed. Surely you can evaluate how the individual evaluators did their jobs.
4.	When you give evaluation
	Take control of the meeting from Toastmaster of the  Day. You can say a few words about the importance  of general evaluation or how you are going to do it! Before you give your comments, ask Timer and Ah-counter  to give a report. Then the Language Evaluator should be  called to do his job. At last it is your turn to give your  comment. Be a General Evaluator, not a generous  evaluator. Be strict yet full of encouragement.

1. Well-prepare before hearing the speech
	Be familiar with the objective of the speech we are going to hear.  Also, take into consideration the individual needs, goals, sensitivities and experience level of the speaker. (Call or email GE to tell him/her how to introduce you.)
2.Reach a helping hand
	Read the script for the speaker before hearing the speech and offer some suggestions, which will help the speaker to have more confidence in delivering his or her speech.
3.Be constructive and helpful
	Overly kind evaluation is not the best choice; the “middle ground” is helping and encouraging.  That is, give a couple of suggestions with a smooth tone, which will help the speaker to improve.  An evaluation is only an opinion, nothing more.  We can't change a speaker's behavior to accept our ideas.  The decision to accept our suggestions is the speaker's alone.  The evaluator is not a judge or an authority on speaking.
4.Build and maintain self-esteem
	As evaluators, we have the power to influence,  but we should never be given total credit—or  responsibility—for a person's subsequent speaking  performance.  Instead, consider the evaluator a  catalyst for change.  Evaluators' suggestions only  provide the basis for future modifications.  But  whether or not the speaker acts upon their advice  is up to that person.
5.Personalize our language
	The purpose of evaluation is to stimulate improvement, so be sure to use proper words.  For example, don't say “You don't’…” “You should have…” “You failed to…”  Instead, we had better use “I believe…” I suggest that…”
6.Use “sandwich” method
	During the evaluation, praise the speaking in the beginning and the end.  Only give a couple of suggestions in the middle of the evaluation for the good feeling of the speaking.
7.Evaluate the speech, not the person
	As evaluators, always keep our main purpose in mind; to support, help and encourage the speaker.  So, focus on the speaker's delivery rather than on the speaker as a person.

An evaluator is a supporter, encourager and helper. Give positive, constructive evaluations that will motivate and genuinely help the receiver.
A.	A few days before the meeting:
	Call the speaker to learn his speech objectives. Be aware of the speaker's general goals and of specific areas in which he would like help and feedback. Answer him any questions he may have. Help him and encourage him. Remind him of bringing the manual to the meeting and give it to you before the meeting begins.
B.	During the meeting:
	1.	Listen attentively--not only with ears, but also with eyes. Take notes.
	2.	After the speaker finishes the speech:
		(1).	Complete the evaluation guide, but remember that you need not comment on every question. You may use the manual guide as a base for your evaluation, but your evaluation need not be limited to those points.
		(2).	Drafting the content of the evaluation--focus on the most important points. You won't have time to cover everything.
			(a).	Mention the presentation's effect on you.
			(b).	Mention what the speaker did well--the speaker's effort and strength
			(c).	Mention where the speaker could improve, and specific recommendations for improvement.
			(d).	Conclude on a positive note that helps the speaker build self-esteem and self-confidence.
C.	During the intermission:
	Maybe you can ask opinions of the speaker himself and of other audience.
D.	Presenting the evaluation
	Giving the speaker your personal opinion in a friendly, direct, non-threatening manner.
	1.	Comment sincerely, friendly, directly and honestly.
	2.	Look at the speaker.
	3.	Give your personal opinion.
		(1).	Describe your own reactions to the speaker, not other people’s reaction. For example, say, “I liked it when” or “I was confused about..”  Avoid saying “The audience didn’t understand….”
		(2).	Suggest the speaker: “You could..”; do not say “You should…” or “You must”.
		(3).	Avoid judgmental words and phrases, such as “good speakers always…”
E.	After the meeting:
	1.	Give the manual with your written evaluation back to the speaker.
	2.	Talk with the speaker one on one.
		(1).	Give more comments to him.
		(2).	Learn from him his feedback to your evaluation.
PS: All the other audience can be volunteer evaluators, too, and write to or tell the speaker
	1.	something he did well, and
	2.	specific recommendation for improvement.

A. Preparation.
1.	Read the manual and consult your mentor or other  experienced  members about how to write the script.
2.	As soon as you decide your title, call or email VPE,  telling him/her the title (and the objectives).
3.	Start to write the script 4 weeks before the meeting  and email your draft to your mentor and other  experienced members for comments or revision.
4.	Start to memorize it 2 weeks before the meeting. Rehearse  20 times and you will surely deliver it successfully.
5.	At latest one week (better 2 weeks or 10 days) before  the meeting, email or call TME to tell him/her how to  introduce you, and how to connect the introduction of  you to your speech.
6.	Make sure that your IE has your script at latest 2-3 days  before the meeting.
7.	Remember to bring your manual to the meeting and give  it to your IE before the meeting starts.
B.Useful Tips (offered by Susan Wu)
1.	Be creative!“Oh! Romeo, Romeo, wherefore art thou  Romeo?” "Shall I hear more? Or shall I speak at this? I  never saw true beauty till this night. It is my soul that calls  upon my name. How silver sweet, sound lovers tongues  by night. Like softest music to attending ear's.” “Opening”  can get people attention immediately. Be creative! Always try something different to entertain  and surprise your audience.
2.	Be brave! Ballroom Dancing has different levels. For  example, Amateur, Professional class C, Professional  class B, and the highest Professional class A. Modern  Dancing, included Waltz, Tango, Foxtrot, and Quickstep.  Latin Dancing, included Cha-Cha-Cha, Lumbar, Samba,  Paso, and Jive. Do some research for your speech, be  brave, and show it with your body language.
3.	Have passion for your topicRead the manual, choose  the topic that you are interested, and be prepared. With  the topic that you are interested, you can deliver a good  speech, people can benefit from your sharing, get different  life experiences and success for the rapidly changing world.

Timer Rules:


General Evaluator!

1.  Create a meeting theme 2 weeks before the meeting.  
2.  Act as a genial host & conduct the entire program smoothly.
3.  Introduce the other members of the program, to create an interesting learning environment. 

PREPARATION：
1.  Confirm every assignment taker a week in advance.
2.  Find a substitute in the meeting if any participant is absent. 
3.  Check with EVP if there is any special event（Induction, celebration, training…) on the meeting day.

ACTION：
1.  Arrive early in order to finish any last-minute details
2.  Fill up and/or cut down the time if the gap is too big and/or too tight
3.  Always lead the applause before & after the speaker starts/finishes
4.  Remain standing near the lectern after the introduction till the speaker has acknowledged you and assumed control of the meeting, then be seated.
5.  Whatever the GE, Session Masters forget, you do it.（e.g. write down names of participants for joke session, forget to call upon timer, Ah counter….）

CONCLUSION：
1.  Thank every participant and guest for a smooth meeting.
2.  Remind assignment takers of staying after the meeting to help cleaning up the room.
3.  To welcome back the Club President to continue the Club Business session　　
1.  Tell Timer and Ah-counter to memorize the rules well (Do not read).
2.  Tell the Variety/Joke Session Master: If the session master decides it to be a joke session, he/she needs to inform some members (who are not assignment takers) to prepare jokes to share.
3.  Tell the Table Topics Session Master: Ask each question briefly but twice, and invite members who haven't and will not have a chance to speak in the meeting to answer the questions. It is better to prepare several questions and use one question for one person only, instead of asking many people the same question.
4.  Tell the prepared speakers to find someone (for example, mentors) edit the script, and to rehearse well.  Please remind General Evaluator (GE) of contacting the Individual Evaluators (IE) as early as possible, better 10-14 days before the meeting, too.  And ask the GE to tell the VPE if any evaluator cannot come. GE can remind IEs of doing evaluation based on the present speech objectives, not the future speech objectives.

Please tell the President how to introduce you.

You must already know that TMD needs to introduce what Toastmasters is about, especially when we have new guests.
